How to generate event passes

Event passes can be issued to customers by email or to their plates directly. Issuing event passes to a plate will not generate any visible form of event pass to the customer.

How to generate event passes for users

  1. Log into the customer management portal and select event management from the left side menu.

  2. In the top bar options, select event passes.

  3. Select import passes.

  4. Select users.

  5. Select add.

  6. Select the "Choose File" button. (Note: The email addresses in the file has to follow the displayed format).

  7. Locate the .csv file in your computer.

  8. Select the appropriate .csv file.

  9. Select the event series.

  10. Select the event you want to create their event passes for.

  11. Select the event pass group the event passes should be given access through.

  12. Lastly, select invite users to complete the process.

The add event pass option will generate new event passes for all email’s in the csv where they have not previously received an event pass. It will not affect any of the existing users with event passes for the selected group & event.

Users will receive an invitation email on invitation.

The invited users will receive 2 more invitation emails one 10 days before the event and one 12 hours before the event starts. These emails will not be sent if the time period has already past.

The .csv file containing the user email list must be formatted in the following format:

How to process transfers for user’s event passes

  1. Log into the customer management portal and select event management from the left side menu.

  2. In the top bar options, select event passes.

  3. Select import passes.

  4. Select users.

  5. Select replace.

  6. Select the "Choose File" button. (Note: The email addresses in the file has to follow the displayed format).

  7. Locate the .csv file in your computer.

  8. Select the appropriate .csv file.

  9. Select the event series.

  10. Select the event you want to create/update event passes for.

  11. Select the event pass group the event passes should be given/updated access through.

  12. Lastly, select invite users to complete the process.

The replace event pass option will:

  • Generate new event passes for all email’s in the csv where they have not previously received an event pass.

  • No update for users who already have an event pass for the selected event & group

  • Remove event passes where the user had previously been issued an event pass and their email is no longer in the uploaded csv. Send transfer emails to these users so they are aware their event pass is no longer valid.

Users will receive an invitation email on invitation.

The invited users will receive 2 more invitation emails one 10 days before the event and one 12 hours before the event starts. These emails will not be sent if the time period has already past.

  11. Lastly, select import plates to complete the process.
