How to configure a booking

You configure bookings by creating a booking rate. Bookings are highly customizable. A booking rate is a rate that applies to pre-booked sessions. Booking rates can apply to certain groups.

Before you start, we recommend creating any required space blocks.

How to create a booking rate

Monthly booking rate

Process

  1. Log into the Customer Management portal and select rates from the left side menu.

  2. In the top bar options, select Booking Rates.

  3. Select add rate.

  4. Select months as the duration of the booking.

  5. Give the rate a name i.e., monthly parking 12 month contract

  6. Set the price for 1 unit in the booking configuration. This is the fee per month. The convivence fees will apply based on the configuration in your billing details.

  7. Select how far in advance a booking can be made in advance. 

  8. Set the minimum and maximum duration that can be taken for the booking.

  9. Select how far in advance a booking payment will be. i.e., for a monthly parking booking, you might choose 1 to ensure that the parker is paying for the month in advance. 

  10. Select the cancellation fee for the booking rate. This will be charged to the parker if they cancel their booking. The parker will be refunded their rate if they cancel. 

  11. Skip the pro-rata day

  12. Select the available dates of the rate

  13. Select if the rate applies to a specific group or to no group. Limiting a booking rate to a group, allows the users in that group to have the new rate visible to book in the app. If the rate doesn’t have a specific group, the rate is public. If the rate is public, leave as No group (public).

  14. Select the space block the rate applies to. You can see the space name and the site that it applies to is in () on the name. You can only apply one monthly booking rate per minimum booking duration. For example you can have a 12 month minimum duration booking rate and a 1 month minimum duration booking rate on one site, but you cannot have two 12 month minimum duration bookings on the same space block.

  15. Configure if the booking rate is able to be sublet.

    1. If a booking is available to sublet, you select the daily rate that applies to users who purchase the sublet booking. The rate will be credited to the subletter for their next booking. You do not receive additional income from subletting.  For more information on subletting, see the subletting information page.

Process

  1. Log into the Customer Management portal and select rates from the left side menu.

  2. In the top bar options, select Booking Rates.

  3. Select add rate.

  4. Select days as the duration of the booking rate.

  5. Select if the booking supports non-consecutive bookings.

    1. If no is selected, the parkers will only be able to book a single day or multiple days in a row such a 3rd, 4th, and 5th of July.

    2. If yes is selected, parkers are able to select multiple days that are not connected such as 1st of July, 4th of July, and 7th of July. 

  6. Give the rate a name i.e., daily parking

  7. Set the price for 1 unit in the booking configuration. this is the fee per day. The convivence fees will apply based on the configuration in your billing details.

  8. If you want to have a different varied price dependent on day of the week, toggle the varied rate to green. Then add in the fee per day of the week.

  9. Select how many days in advance a booking can be made.

  10. Set the minimum and maximum duration that can be taken for the booking.

  11. Select the available dates of the rate

  12. Select if the rate applies to a specific group or to no group. Limiting a booking rate to a group, allows the users in that group to have the new rate visible to book in the app. If the rate doesn’t have a specific group, the rate is public. If the rate is public, leave as No group (public).

  13. Select the space block the rate applies to. You can see the space name and the site that it applies to is in () on the name. You can only apply one booking rate per minimum booking duration. For example you can have 5 days minimum duration booking rate and a 1 day minimum duration booking rate on one site, but you cannot have two 1 day minimum duration bookings on the same space block.  

  14. select create booking rate to complete the process.

Hourly booking rate

Process

  1. Log into the Customer Management portal and select rates from the left side menu.

  2. In the top bar options, select Booking Rates.

  3. Select add rate.

  4. Select the hours duration.

  5. Give the rate a name i.e., hourly parking

  6. Set the price for 1 unit in the booking configuration. This is the fee per hour. 

  7. Set the minimum billable duration for the rate, this allows you to charge the booking to the nearest factor. either for every hour, or for 30 minutes.

  8. Select how far in advance a booking can be made.

  9. Set the minimum and maximum duration that can be taken for the booking.

  10. Select the available dates of the rate

  11. Select if the rate applies to a specific group or to no group. Limiting a booking rate to a group, allows the users in that group to have the new rate visible to book in the app. If the rate doesn’t have a specific group, the rate is public. If the rate is public, leave as No group (public).

  12. Select the space block the rate applies to. You can see the space name and the site that it applies to is in () on the name. You can only apply one booking rate per minimum booking duration. For example you can have 1 hour minimum duration booking rate and a 12 hours minimum duration booking rate on one site, but you cannot have two 1 hour minimum duration bookings on the same space block.  

  13. select create booking rate to complete the process.
